ROLE Summary:

 

Follow established policies, procedures, and guidelines to manage and optimize purchasing activities and processes. Sr. Officer / Asst. Manager should have excellent abilities to negotiate for best possible deals with suppliers/service providers.

 

Internal contacts:

 

  • Communication: - Production, Projects, Maintenance, Laboratory, HSES, HR, Sales & Marketing, QA.

 

External contacts: -

 

  • Specialty Equipment suppliers/service providers/vendors. Design- Engineering consultant.

 

RESPONSIBILITIES:

 

  • Float enquiries in accordance organization’s procurement and ethical policy to ensure availability of right quality products and services are made available at right cost and time.
  • Monitor and maintain a full compliance with the company procurement procedure & policy. Ensure commercial, legal and contractual compliances in all the procurement transactions.
  • Assist in overall procurement activities engineering local and imported items, finalization of works contracts/AMC.
  • Identify, select and develop new vendors/ suppliers / services providers. Establish approved vendor list. Maintain proper management of vendor assessment and performance management. Updating vendor list based on comments from the internal customers.
  • Analyze scope of work, understand customers functional needs, contractual obligations, procurement risks etc by coordinating with user departments.
  • Assist to plan & schedule purchase activities to meet targets relating to quality & cost, and timely deliver.
  • Assist in managing all the activities of purchasing department, preparation of enquiries, terms condition, coordinating with user dept in seeking technical approvals, analyzing & reviewing offers, comparisons, negotiation, approvals, purchase orders, non-discloser agreements (NDA), commercial contracts and plans for the purchase of equipment, services and supplies.
  • Preparation of purchase orders in SAP and distribution of purchase orders along with GTCC and PO terms conditions to the contractors/suppliers and tracking them for timely delivery. 
  • Analysis of procurement data, purchase info records, source list, vendor registrations, vendor bank change request, updating & analysis of various SAP reports, updating GST, HSN, SAC codes for materials & services.
  • Maintain documented information and reports for various statutory, financial, Lubrizol corporation audits and ISO management system requirements. 

 

REQUIREMENTS (education, experience, competencies for job requirements):

 

  • Engineering graduate with 10 to 15 year’s experience in procurement of engineering spares, consumables, disposal of scrap items and service contract management.
  • Proficiency in Microsoft Office, SAP and Ariba Purchase module.
  • Working in SAP MM environment.
  • Strong planning, communication and negotiation skills.
  • Good taxation, analytical, cost analysis, commercial, and strategic thinking skills.
  • High ethical conduct.
  • Proactive & self-starter.
  • Non-Discloser Agreements, Commercial & Legal contracts. 
  • Attention to look for detail and ability to work independently.
  • Familiar with vendor base, local and import tax laws.
  • Proposals drafting skill.
