ROLE:

To provide primary administrative support to Operations, Supply Chain and to assist other departments as agreed. Conduct assigned duties in relation to the Administration Support position, complete assigned tasks and discharge responsibilities as per Lubrizol policies and procedures.

 

 

RESPONSIBILITIES / ACCOUNTABILITIES:

Front End Interface

  • Receive visitors, customers and contractors at reception.
  • Compile visitor log book via spreadsheet.
  • Answer incoming telephone calls.
  • Directing customer and inquiries as appropriate.
  • Process incoming/outgoing mail and parcels.
  • Arrange catering for meetings when required.
  • Liaise with cleaners on activities that require attention in the cleaning activity book.

 

Purchasing

  • Place orders with suppliers as required for operations, safety, stationary, consumables, etc.
  • Create and amend Purchasing Documents (PR/PO) in relation to orders and invoices
  • Chase up deliveries, cross check Invoices ensure they are received.
  • Process Invoices for payments and interface with Finance on emails regarding Invoice issues.

 

Project and Extended Responsibility

  • Conduct and complete any project or task which are reasonably asked and expected by Manager.

 

Supply Chain Vendor Invoicing  

  • Compile monthly supplier surcharges information.
  • Verify supplier invoices, interface with supplier on invoice issue.
  • Create PR in relation to vendor invoices.

     

Import Coordination

  • Collate required documentations and work with Customs Broker to clear Customs.
  • Create and attached documents to each PO in SAP.

     

     

REQUIREMENTS

  • Ability to work as part of a team
  • Ability to liaise with colleagues and visitors/customers in a professional and courteous manner
  • Ability to display initiative and manage their time and workload and work autonomously
  • Excellent verbal and written communication skills
  • Proficient Computer Skills (Microsoft Office)
  • Experience in SAP preferable
