The HSES Administrative Assistant is responsible for providing administrative support in order to ensure effective and efficient processes.
Essential Duties and Responsibilities:
- Provide administrative support for the HSES department
- Schedule and setup meetings and events for HSES department
- Fullfill the role of the site’s Learning Management System (computer based training) Coordinator
- Maintain curriculum(s)
- Create and update courses
- Attend Governance team meetings
- Assist course owners with new course selections
- Enter course completion (rosters)
- Provide employee support (e.g. troubleshooting)
- Provide reports to meet requests (e.g. audits, driving past due courses)
- Train employees to provide back-up on administrative duties
- Assist with record management and development of departmental reports
- Order office supplies as needed
- Submit computer access requests for new or transferred employees (using SAFE system)
- Assist in maintaining SharePoint sites for department
- Maintain the HSES department organization chart
- Update and coordinate work instructions, JSA’s, and other documents for the HSES department
- Provide back up support for other administrative assistants in their absence, (e.g. access requests)
- Assistance with meeting planning and set-ups; co-administrative on-line conference room scheduling (outlook)
- Assistance with travel arrangements and entering of expense reports for emergency responders
- Creation of purchase requisitions in SAP
- Service acceptance of departmental invoices in SAP
- Schedule medical department exams, coordinate medical and wellness events (e.g. mammogram program), and assist with licensing of medical department
- Assist with organizing community and employee events (e.g. cookouts)
- Typing, copying, faxing, filing
- Other duties as assigned
Skills, Experience, and Qualifications:
- High School Diploma from an accredited school
- Minimum of 3 years administrative assistant experience
- Proficient with Microsoft Office (Word, Excel, Access and PowerPoint)
- Aptitude to learn quickly; including new technology
- Possess excellent organizational skills
- Possess good communication skills (verbal and written)
- Ability to deliver results and with limited oversight
- Ability to handle multiple projects and priorities
- Ability to maintain a high level of accuracy
- Seeks process improvements
- Resourceful and flexible in accomplishing tasks and solving problems
- Ability to maintain confidentiality of all documents processed and handled; as well as issues discussed and worked on in the department
- Must be a team player and have a positive attitude
- Willing to take on additional responsibilities
Considered A Plus:
- Experience with SAP, Visio, Career Essentials and SharePoint
- Experience working in a manufacturing environment
Working Conditions:
- Role is based in an office setting but must be willing/able to work in a plant environment as needed by responsibilities
- Must be willing/able to be exposed to inclement weather while moving throughout the plant
- Ability to wear all required PPE, including but not limited to steel toe shoes, hard hat, safety glasses, etc.
- Ability to lift 25 pounds
