The HR Master Data team at the Lubrizol Corporation has an opening for a detail-oriented HR System Security & Data Privacy Specialist. The work location for this role is flexible.

 

Accountability 

Accountable to ensure global compliance of HR data privacy and HR employee records management activities in accordance with company policies.  In addition, they will manage the security access to Lubrizol global HR systems in accordance with the HR security access control policy.

 

Position Overview

This role will leverage the use of technology to create, document and maintain a global governance process for HR employee document retention in accordance with our global policies. It will also be the focal point of contact for the coordination of global HR data privacy activities, including being the North America data controller to ensure we remain compliant with US laws.  This role will also manage and audit the security access to employee personal data within our global HR systems.

This role adds value to the corporation by safeguarding the effective protection of people data across the corporation in support of achieving the Lubrizol vision.

 

Responsibilities

 

HR Data Controller Specific:

 

  • Monitor the compliance with Lubrizol’s global Personal Data Privacy policies and alignment with applicable data protection laws, to support the overall company data strategy.
  • Ensure compliance with North America protection and privacy laws to control what personal data elements are collected, how the data elements are used and who has access to those data elements.
  • Lead HR Data Privacy reviews to ensure that the projects, tools and processes adhere to Lubrizol’s global Personal Data Privacy policies, guidelines, and regulations (GDPR, CCPA, China Cybersecurity, etc.)
  • Coordinates the completion/resubmission of Records of Data Privacy Activities (RDPAs) for North America in the DM360 tool to support GDPR.
  • Manage HR data incident process including identification, investigation, mitigation support and reporting.
  • Perform HR Data risk assessments and audits of HR policies and processes to identify control gaps, provide recommendations to ensure risk mitigation and ensure implementation of adequate controls, and summarize findings through standard reporting.
  • Raise awareness and provide staff training for any employees involved with employee data processing activities.
  • Build and foster relationships with key stakeholders across HR, Country Data Controllers, IS, Legal, and Audit.
  • Maintain the Lubrizol Personal Data Privacy SharePoint Site.
  • Comply with the HR Data Privacy policy HR-01-41.
     

Employee Records Retention specific:

  • Investigate how we can leverage technology to create, document and maintain a global governance process for HR employee data/document retention, intake / view and destruction.
  • Maintain a global schedule of retention rules by country, to include hard copy, electronic and those on Legal Hold. 
  • Coordinate a regular cadence with the Regional Leveraged Services teams to arrange document disposal as required.
  • Provide a guidance document on who is authorized to view employees records and determine the process for tracking shared documents and destroying after use.
  • Coordinate the process and movement of HR files where sites/locations are closing.
     

HR System Security Specific:

  • Ensures compliance with the company’s HR Security Access Control Policy, and any related policies or procedures.
  • Approves appropriate user access to global HR systems.
  • Conduction HR system audits to confirm that users have access to the proper level of information access.
  • Investigates improper use and reports violations to the Manager, HR Master Data.
  • Plans and conducts user training to provide overviews of HR systems security and improve efficiency.
  • Performs other related duties as assigned.
     

Responsibilities – HR Technology Projects

  • Participate in HR Technology or other special projects as required.

Qualifications

  • Bachelor’s degree in Management, Human Resources, Information Technology, related field, or relevant experience.
  • 5 or more years’ experience working in a Human Resource or Information Technology Department
  • Strong communication and relationship building skills to create solution-oriented plans, and designs, and strong collaboration with HR colleagues, business stakeholders, and external consultants/experts.
  • Having a global perspective of Data Privacy is a nice to have and can be learned based on our needs.
  • Excellent interpersonal, analytical and problem-solving skills.
  • Must have excellent written communication skills, and be customer focused to create system job aids, and reference guides in support of records management systems.
  • Must be self-motivated and able to function effectively when working independently or in a team.
  • Passionate about technology, leveraging automation and creating efficiency through technology.
  • Results oriented and able to drive issue resolution.
  • Detail oriented, organized, proactive.
  • Strong time management skills.
  • MS Office experience
