As Administrative and Communications Specialist for the Lubrizol Life Science (LLS) Beauty and Home Business Unit of Lubrizol Advanced Materials, your role is to both support the General Manager, the leaders of the Beauty and Home Business Unit, and other leaders within the business with administrative duties, and also to provide focused support on internal communications, working closely with the business unit leadership team and Communications manager..

 

DUTIES/RESPONSIBILITIES:

  • Provide administrative support to the General Manager and other leaders and team members as assigned
  • Create and distribute various correspondence, presentations and reports for the General Manager and the division
  • Proofread and edit PowerPoint presentations – including revising/consolidating multiple slides/presentations from various authors to one document with a consistent format, and proofing for spelling errors and grammar
  • Draft routine and project-related correspondence, documents, presentations and reports for General Manager and their direct reports
  • Create, own and manage the business unit’s Microsoft Teams sites, ensuring data is appropriately stored and accessible for team collaboration
  • Manage Outlook calendar and schedule travel arrangements and create detailed travel itineraries
  • Own and manage senior level internal and external meetings – including coordination of agendas, securing presentations of invitees, running/serving as producer for Microsoft Teams meetings, ensuring the meetings run smoothly and professionally
  • Prepare expense reports in Concur for the General Manager and other leaders and team members as assigned
  • Manage business unit’s contracts agreements, including compiling/obtaining all necessary background information and approvals for coordination of signatures, tracking outstanding contracts, and uploading contracts to SharePoint
  • Create, update and manage various distribution lists for business unit
  • Assist in onboarding of new employees, including coordinating new equipment requests and ensuring assignment to distribution lists, Microsoft Teams sites, and access rights
  • Coordinate maintenance work requests and office moves including ensuring any remaining files are vetted for record retention and removal of any remaining items from vacated office spaces
  • Enter purchase requisitions and service acceptances for same; process non-PO invoices and cash disbursement requests through SAP and VIM
  • Other duties and responsibilities as determined by the General Manager

SKILLS, QUALIFICATIONS, EXPERIENCE, SPECIAL PHYSICAL REQUIREMENTS:

  • High school diploma or equivalent from an accredited educational institution
  • Minimum of five years of administrative and/or communications experience or Bachelor’s degree and two years administrative and/or communications experience
  • Excellent computer skills – exceptional in Microsoft Office (Outlook, Word, Excel, PowerPoint, SharePoint, Teams)
  • Highly resourceful and flexible in accomplishing tasks and solving problems
  • Maintain high ethical standards and confidentiality at all times
  • Exceptional customer service skills with demonstrated experience of being helpful and responsive, especially with other business unit leaders, employees and their assistants
  • Ability to work effectively under pressure and/or time constraints with accurate reports
  • Excellent verbal andwritten communication skills
